About the role

We are currently seeking a Prescheduling Specialist to join our Operations group at VITAC, a core division of The Verbit Group. VITAC's 35 years of captioning expertise together with Verbit's dual Artificial Intelligence + Human Intelligence method, makes us the most trusted solution for ensuring all video and audio content, both live and recorded, is accessible to everyone.

The Prescheduling Specialist will perform all necessary duties to develop, maintain and implement high quality schedules across all service lines in a manner that is consistent with the goals, policies, and procedures of the Prescheduling Department.

The shift of this job Sunday through Thursday 7a-6p

The scope of work may include but is not limited to the following:

  • Prepare high quality schedules for all service lines. Includes maintenance and strategic scheduling of captioner availability, which will include captioner vacations, leave, etc. as well as biweekly and weekly schedule assignments and release
  • Schedule unassigned events in a timely, high-quality manner
  • Monitor Captioner hours during event assignments.
  • Escalate all Real-time Captioning event matters to appropriate department personnel in accordance with company policies and procedures.
  • Perform capacity planning and analysis to meet the company's changing demands.
  • Research and respond to scheduling issues
  • Update and maintain monthly, weekly and biweekly reports
  • Update and maintain reports and checklists of captioner restrictions, leaves, new captioners, and other lists as needed.
  • Respond to Captioner inquiries regarding schedules, requests, conflicts and issues.
  • Updated and maintain Captioner schedules as needed
  • Provide on-boarding presentations to new hire Captioners and on-boarding calls.
  • Accurately maintain customer base schedules in scheduling software
  • Assist in evaluating and suggesting prescheduling processes, procedures and software improvements
  • Promote good working relationships with co-workers, Captioners, and customers through proactive and open communications
  • Will need to learn and use a variety of scheduling software.
  • Other duties and responsibilities as needed

Requirements for the ideal candidate:

  • Excellent verbal and written communication skills
  • High proficiency with Microsoft Office software suite and other Windows tools (Excel, Word, Outlook)
  • Experience with interactive meeting technology (WebEx, GoToMeeting, Zoom, teams)
  • Education: Bachelor’s degree or equivalent experience preferred
  • Television Broadcasting experience desired
  • Experience managing employee schedules desired

Our compensation for the role ranges between $18 - $20/hr and will align with the candidate’s experience and skill set.
